HGHS Senior Prom & Graduation Information Update

April 29, 2021

Dear Class of 2021 Families,

I was pleased that so many members of the Class of 2021 and their families were able to join this evening's webinar where we discussed our preparations to celebrate the tremendous accomplishments of our seniors. We are thrilled to host both graduation and prom on the grounds of Greeley. You may view the video of the webinar here, and find the slide deck here

The NYSDOH has provided guidance on how we may hold these events safely in our community. I would like to outline for you our current thinking below with the understanding that we will release more information as the events approach.

HGHS SENIOR PROM
The prom will be held under the tent on campus at 7:00 p.m. - 10:00 p.m. on Friday, June 4th (if there is a potential for thunderstorm that evening, the prom will take place on June 3rd or June 5th--so please keep both dates open).

PRIOR TO PROM: COVID SCREENING
Students will be required to come to campus in a vehicle six hours before the prom so that the district may comply with COVID screening protocols (we will share with you a sign-up process to schedule your screening 10 days prior to the event). All students will complete the health screening questionnaire and meet the required NYSDOH COVID screening criteria in one of three ways:

  • Students will be screened by CCSD for COVID-19 with the Abbott BinaxNOW COVID Ag Card (students who are screened at HGHS will wait 10-15 minutes in their car for their results).
  • Students will submit a copy of a negative PCR test certified by a lab or physician (the sample must be collected within 72 hours of the event).
  • Students will submit a copy of having completed the COVID-19 vaccination series at least 14 days prior to the date of the prom.

Once this process has been completed, graduates will receive their prom pass for that evening.

PROM EVENT: IMPORTANT DETAILS
While planning for this event continues to evolve, we would like you to be mindful of the following as you prepare for this evening:

  • Students may be dropped off by their parents, drive to the event by themselves or come to the prom in a vehicle with students in their table group (students may not arrive on foot and party buses, limos, ubers, etc. are not permitted on campus).
  • Students must wear a mask at all times except while eating/drinking at their table.
  • Students will dance in table groups only.
  • Students will have the ability to select tables of 8 (the senior class advisors will facilitate this process and you will receive a communication from them before May 15th).
  • The estimated cost per student is between $100-$125 (we will finalize this by next week).
  • Students will be breathalyzed if we deem it to be necessary (we do not plan on breathalyzing all students upon entry).

HGHS GRADUATION
Graduation will be held for our seniors on the competition field on Friday June 18th at 7:00 p.m. Students will sit with two guests on the turf field, socially distanced from other families. We will livestream our ceremony for our graduates to accommodate those who are uncomfortable attending and display their picture on the large screen.

PRIOR TO GRADUATION: COVID SCREENING
Students will be required to come to campus in a vehicle six hours before the graduation ceremony with their two guests so that the district may comply with COVID screening protocols (we will share with you a sign up process to schedule your screening 10 days prior to the event). All students and guests will complete the health screening questionnaire.

Students will also meet the required COVID screening criteria in one of three ways:

  • Students will be screened by CCSD  for COVID-19 with the Abbott BinaxNOW COVID Ag Card (students who are screened will wait 10-15 minutes in their car for their results).
  • Students will submit a copy of a negative PCR test certified by a lab or physician (the sample must be collected within 72 hours of the event).
  • Students will submit a copy of having completed the COVID-19 vaccination series at least 14 days prior to the date of the prom.

Guests will meet the required COVID screening criteria in one of two ways:

  • Guests will submit a copy of a negative PCR test certified by a lab or physician (the sample must be collected within 72 hours of the event).
  • Guests will submit a copy of having completed the COVID-19 vaccination series at least 14 days prior to the date of the prom.

**If a guest anticipates having difficulty meeting either criteria, they must contact Superintendent of Schools, Christine Ackerman, by May 15, 2021 at the following email address: chackerman@chappaquaschools.org.**

Once this process has been completed, graduates and guests will receive their graduation passes for that evening. Guests and graduates will need to show these passes to enter campus and take their seats on the turf field.

GRADUATION EVENT: PRELIMINARY CEREMONY DETAILS
While planning for this event continues to evolve, we would like you to be mindful of the following as you prepare for this evening:

  • The graduation ceremony arrival process will begin at 6:15 p.m.
  • Graduates will be assigned their seats and attend a rehearsal in advance of the ceremony.
  • Graduates and guests must wear masks at all times.
  • Graduates and guests must arrive in the same car and enter the turf field together.
  • Graduates will come to the stage to receive their diplomas in the manner prescribed by the NYSDOH.
  • All student speakers will be pre-recorded.
  • Graduates will be able to take a picture while receiving their diploma without their mask on in the manner prescribed by the NYSDOH.
  • Guests will not be permitted to leave their seats during the ceremony.
  • Twins will be seated together and be permitted to have two guests attend in total.
  • The graduate will identify the two guests attending the ceremony with them in advance of the ceremony (we will share this process with you by May 30th.)
    • We understand that every family dynamic is different and the two-guest limitation may be highly problematic for some of our seniors. If you believe there is an extenuating circumstance that would warrant special consideration, please email SeniorEvents@chappaquaschools.org and we will review your situation. However, please note, there will not be a pathway forward that would include more than two guests on the field sitting next to a graduate.
  • The rain date for graduation is Thursday, June 17, 2021.

We look forward to celebrating our seniors at the 2021 graduation ceremony and hosting our senior prom under the tent. If you have any questions or concerns, please use the email address: SeniorEvents@chappaquaschools.org.

Sincerely,

Andrew Corsilia
