Policy 6055: Prepayment for Food Services

The Board of Education authorizes the use of a prepayment system for student and adult purchases of food and beverages in school cafeterias. The Board recognizes the use of such a system as a convenience for students and adults and as an opportunity to automate the food purchasing system and reduce daily cash handling for the District.

Any student enrolled or adult employed by the District may utilize the prepayment system once an initial cash or check deposit has been made into an account designated by student or employee identification number. Food and beverage purchases may then be debited against the account balance.

For students, the prepayment account shall be considered active as long as the student remains enrolled in the District. Any credit balance in student accounts shall be carried forward to the next school year. Upon a student's graduation, any credit balance will be automatically refunded to the student's parent or legal guardian. A refund of any balance will be made at any time upon written request to the business office by a student's parent or legal guardian. Students shall be notified when their account balance becomes low or negative. Parents or legal guardians will be notified if negative balances persist. Purchases utilizing the prepayment system may be restricted until negative balances are rectified.

For employees, the prepayment account shall be considered active as long as the employee is working in the District. Any credit balance in employee accounts shall be carried forward to the next school year. Upon employee termination or retirement, any credit balance will be automatically refunded. A refund of any balance will be made at any time upon written request to the business office by an employee. Employees shall be notified of a low balance at the time of purchase. No employee shall be permitted to utilize the prepayment system if a negative balance would result.

The Superintendent or his/her designee shall develop regulations to implement the provisions of this policy.
